How the calculation works

  1. 1.

    Equal split. Monthly expense ÷ number of flats. An annual figure is first divided by 12.

  2. 2.

    By area. Total area = each flat type's area × number of such flats, added up. Rate per sq ft = expense ÷ total area. A flat pays its area × the rate. If you choose to split part of the expense equally, that part is divided by the number of flats first, and only the rest is shared by area.

  3. 3.

    Item by item. Add up the monthly amounts for security, housekeeping and so on, then divide by the number of flats. You see each item's share of the bill and the yearly total.

  4. 4.

    Rounding. If you round, each flat's amount is rounded up so the society is never short. The extra collected is shown as the rounding surplus.

Important assumptions

  • The result is an estimated allocation of the numbers you enter. It is not a legally required formula.
  • Your society's bye-laws decide how each charge is shared. For example, the Maharashtra Model Bye-laws (2014) share service charges equally per flat and link repair and sinking fund contributions to each flat's construction cost — check what your registered bye-laws say.
  • In an apartment owners' association under the Maharashtra Apartment Ownership Act, common expenses are shared by each owner's percentage of undivided interest, as set out in the Declaration.
  • Taxes such as GST on maintenance, and charges billed separately to individual flats, are not included.

Should maintenance be charged per flat or per square foot?

It depends on your society's bye-laws and general body decisions. Many societies charge some items equally (like staff salaries) and others by area. Use the “By area” mode with a partly-equal split to model that mix.

Does this include the sinking fund?

Why round up?

Rounding every flat down would leave the society short. Rounding up by at most ₹1 or ₹10 per flat keeps bills tidy and the surplus small — the tool shows exactly how much.
